Job Title: Event & Operations Assistant
Reports to: Christina Fuller
Work Location: Primary office at 3121 SW Moody Ave., plus various on-site events & temporary spaces

Role Summary
Fuller Events is a full-service event coordination company in Portland, Oregon. Specializing in large-scale community events, we pride ourselves on strong project management, well-executed event operations and production, and creative problem solving. Our clients include some of the most exciting, well-respected (and fun!) events in our region including Waterfront Blues Festival, Feast Portland, Hood to Coast Relays, and Pride NW, among many others.

Fuller Events has been built on hustle, hard work, zip ties and camaraderie. We’re looking to add to our team someone who has an attention to detail, a knack for organization and processes, and a strong commitment to building relationships and building community.
 
The role of Event & Operations Assistant will provide administrative and event support for the Fuller Events team and will perform other duties as assigned.  This is a full-time position that will require a person who will have flexibility in their work schedule to prepare for and attend all events that Fuller Events produces.
 
Primary Duties
  • Provide event coordination support, including:
    • Supporting the Fuller Events team in managing production details for events
    • Creating, editing and updating event documents including timelines, event plans, permits and site plans
    • Working with event contractors creating orders, ensuring accuracy and on-site deliverables, recaps and final reconciliations
    • Overseeing event beverage service, including the coordination and scheduling of staff, supply ordering, on-site execution of bar service, inventory management and post-event sales summaries
    • Draft and submit assigned permitting for the events
  • Work with Fuller Events team to execute seamless administrative processes, including:
    • Creating and tracking client invoices
    • Coordinating payments for contractors and vendors
    • Preparing monthly paperwork to be given to bookkeeper
    • Coordinating and managing inventory for crew uniforms
    • Gathering HR paperwork and documents for all employees
    • Accurately tracking and inputting hours in monthly and event-specific payrolls
  • Schedule, create agenda and take notes at weekly team meetings, as well as client, sponsor and contractor meetings
  • Manage and respond to all inquiries to Info@fullerevents.com
  • Maintain master client event calendars
  • Manage the office and storage spaces, including ordering office supplies, mailings and other administrative duties
  • Update Fuller Events website with content, schedules, current clients, event listings and more
  • Other projects and duties as assigned.
 
Required Experience
This position requires excellent administrative skills, the ability to work with multiple software programs including Dropbox and Google Suite as well as Word, Excel and Power Point. Also required is an excellent ability to write, speak and communicate with outside vendors, sponsors and clients. The ideal candidate brings a background that mixes the hustle that’s required to produce events, the keen eye that can catch typos in outgoing emails, and the ability to work in a complex work environment with many moving pieces. Must be able to lift 30 pounds. Will need own transportation. Will work, at times, nights and weekends.
 
Other Details
Salary and benefits: this position is a full time salary position with benefits and with occasional evening and weekend hours, especially during the summer.
